1. Who we are

Estimify is operated by Nuvora LLC ("we", "us", "our"), a company based in North Olmsted, Ohio, USA. Nuvora LLC is the data controller for personal information processed through the Estimify service.

2. What data we collect

• Account information: name, email address, login credentials.
• Business information: company name, address, license/insurance details, logo, and other profile fields you provide.
• Client and quote data: information you enter about your clients, quotes, and templates.
• Payment information: handled by our payment processor Paddle. Paddle collects billing details and payment instruments directly — we receive only limited information (subscription status, last 4 digits of card, billing country) to manage your account.
• Usage and technical data: IP address, device and browser type, pages viewed, and similar telemetry collected automatically.
• Support communications: messages you send to us via email or contact forms.

3. How we use your data

• To create your account and provide the Estimify service.
• To process subscriptions, payments, taxes, and invoices (through Paddle).
• To send transactional emails (quote deliveries, receipts, password resets, important service notices).
• To provide customer support and respond to inquiries.
• To monitor, secure, and improve the service and prevent fraud or abuse.
• To comply with legal obligations.

Our legal bases for processing include performance of a contract with you, our legitimate interests in operating and improving Estimify, your consent (where required), and compliance with legal obligations.

4. Paddle as Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle is the Merchant of Record for all our orders and acts as an independent data controller for payment data. Paddle handles billing, subscription management, tax compliance, invoicing, refunds, and payment-related customer service.

5. Who we share data with

• Paddle — Merchant of Record for payments and subscription management.
• Service providers — hosting, database, email delivery (e.g. Resend), analytics, and support tooling, acting as our processors under contract.
• Professional advisers — legal, accounting, and similar advisers when needed.
• Authorities — when required by law, court order, or to protect our rights.

We do not sell your personal information.

6. Data retention

We retain your data for as long as your account is active and for a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce agreements. When data is no longer needed it is deleted or anonymized.

7. Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or restrict the use of your personal data, and to object to or withdraw consent for certain processing. 8. Security

We use appropriate technical and organizational measures — including encryption in transit, access controls, and managed cloud infrastructure — to protect your data. No method of transmission or storage is 100% secure, but we work to maintain industry best practices.

Estimify operates from the United States. If you access the service from outside the U.S., your information will be transferred to and processed in the U.S. and other countries where our service providers operate, under appropriate safeguards.
